Terms of Service

1. The Service

PropAI is an AI-powered proposal writing tool that allows users to upload files and notes and receive AI-generated business proposals. Features vary by subscription plan. We reserve the right to modify, suspend, or discontinue any part of the service at any time with reasonable notice.

2. Accounts

You must provide accurate and complete information when creating your account. You are responsible for keeping your login credentials secure and for all activity that occurs under your account. You must notify us immediately at support@propai-proposals.com if you suspect unauthorised access.

You must be at least 16 years old to use PropAI. By using the service, you confirm that you meet this requirement.

3. Subscriptions & Billing

PropAI offers a free plan and paid subscription plans. Paid plans are billed monthly or annually through Stripe. By subscribing, you authorise us to charge your payment method on a recurring basis.

• Cancellation — You may cancel your subscription at any time. Cancellation takes effect at the end of the current billing period; you retain access until then.
• Refunds — We do not offer refunds for partial months or unused credits. If you believe you were charged in error, contact us within 14 days of the charge.
• Plan changes — Upgrades take effect immediately. Downgrades take effect at the start of the next billing period.
• Price changes — We will give at least 30 days' notice before changing subscription prices. Continued use after a price change constitutes acceptance.

4. Plan Limits & Credits

Each plan includes a monthly proposal limit and a pool of AI revision credits. Limits reset at the start of each billing cycle. Unused proposals and credits do not roll over. If you reach your plan limit, you will need to upgrade or wait for the next cycle.

We reserve the right to adjust plan limits with reasonable notice.

5. Acceptable Use

You agree not to use PropAI to:

• Upload files containing malware, illegal content, or content that violates third-party rights
• Generate proposals containing false, misleading, or fraudulent information
• Attempt to circumvent plan limits, access controls, or security measures
• Reverse engineer, scrape, or copy the service without permission
• Resell or sublicense access to PropAI without our written consent
• Violate any applicable law or regulation

We may suspend or terminate accounts that violate these rules without prior notice.

6. Your Content & Intellectual Property

You retain ownership of all files you upload and all proposals generated using your content. By uploading content to PropAI, you grant us a limited licence to process, store, and display that content solely for the purpose of providing the service to you.

We do not claim ownership over your proposals or source files. We will not share your content with other users or use it to train AI models.

The PropAI platform, branding, design, and underlying technology are owned by us and protected by intellectual property laws. You may not copy, reproduce, or create derivative works from our platform without written permission.

7. AI-Generated Content Disclaimer

Proposals generated by PropAI are produced by AI and are provided for informational and drafting purposes only. They may contain inaccuracies, omissions, or content that requires review before use. You are solely responsible for reviewing, editing, and approving any AI-generated content before sending it to clients or third parties.

PropAI makes no warranty that generated proposals will win business, be legally sufficient, or be appropriate for your specific circumstances. We recommend having significant proposals reviewed by a qualified professional where appropriate.

8. Uploads & File Processing

You are responsible for ensuring you have the right to upload any files you submit. Do not upload files that contain confidential third-party information without appropriate authorisation, or files that infringe copyright or other intellectual property rights.

We may set limits on file sizes and types. Uploaded files are stored in your private storage bucket and are not accessible to other users.

9. Limitation of Liability

To the maximum extent permitted by law, PropAI and its team shall not be liable for any indirect, incidental, consequential, or special damages arising from your use of, or inability to use, the service — including but not limited to lost profits, lost data, or business interruption.

Our total liability to you for any claim arising from these Terms or your use of the service shall not exceed the amount you paid to us in the 12 months preceding the claim.

PropAI is provided “as is” and “as available” without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, or non-infringement.

10. Indemnification

You agree to indemnify and hold PropAI and its team harmless from any claims, damages, losses, or expenses (including legal fees) arising from: (a) your use of the service, (b) your violation of these Terms, or (c) content you upload or proposals you send to third parties.

11. Termination

You may close your account at any time by contacting us at support@propai-proposals.com. We may suspend or terminate your account if you violate these Terms, fail to pay subscription fees, or if we discontinue the service.

Upon termination, your right to use PropAI ceases immediately. We will delete your data in accordance with our Privacy Policy.

12. Governing Law

These Terms are governed by applicable law. Any disputes shall be resolved through binding arbitration or in the courts of competent jurisdiction. If any provision of these Terms is found to be unenforceable, the remaining provisions remain in full effect.

13. Changes to These Terms

We may update these Terms from time to time. We will notify you of material changes by email or in-app notice at least 14 days before they take effect. Continued use of PropAI after the effective date constitutes acceptance of the updated Terms.
